  • Any additional information you choose to provide in your message

For individuals who volunteer as demonstration patients during our seminars, we collect:

3. How We Use Your Information

We use personal information solely for the following purposes:

  • Course administration: Processing registrations, managing attendance records, issuing certificates of attendance, and communicating course logistics (schedule, venue details, materials)
  • Payment processing: Collecting and processing course fees and issuing refunds where applicable
  • Accreditation: Verifying professional qualifications to confirm eligibility and, where required, facilitating the allocation of CPD points or accreditation credits through recognised professional bodies
  • Dietary and welfare needs: Ensuring appropriate catering and participant welfare during seminars
  • Course improvement: Collecting and reviewing participant feedback to improve the quality of our courses
  • Communication: Responding to enquiries and providing course-related updates
  • Demonstration patient care: Ensuring safe and appropriate treatment, and (with your explicit consent) using photographs and video recordings for educational, research, and promotional purposes

  • Payment processors (Shopify and Stripe) for the purpose of processing course fees and refunds
  • Accreditation bodies where required to verify attendance for the allocation of CPD points or professional accreditation credits (e.g., NVTCG Zhong, NVA, BAC, NCBAHM)
  • Legal authorities where we are required to do so by law

We will not share your information with any other party without your prior consent.

5. Confidentiality

All personal information provided by participants is treated as confidential by SustainHealth Academy and its staff. This includes, but is not limited to, personal contact details, professional registration information, health information, and any information shared during course activities.

Our instructors and any staff involved in course delivery are expected to maintain strict confidentiality regarding participant information.

Demonstration patients are treated with full clinical confidentiality. Photographs, video recordings, and any clinical information are used only in accordance with the consent provided by the patient on their signed consent form.

Participants are not permitted to photograph, video, or record during seminars. This protects the confidentiality of demonstration patients, proprietary course content, and fellow participants.

6. Photography and Recording During Seminars

SustainHealth Academy may photograph and video record during seminars for marketing, educational, and promotional purposes. Participants who appear in such recordings will be asked to provide consent. If you do not wish to appear in any recordings, please inform us before or at the start of the seminar and we will make appropriate arrangements.

Demonstration patients provide separate written consent for photography and video recording as part of their patient consent form.

7. Data Retention

Participant registration records, payment records, and attendance records are retained indefinitely for the purposes of alumni records, accreditation verification, and ongoing course administration.

Demonstration patient records (including consent forms) are retained indefinitely as part of our clinical records.

If you wish to request deletion of your data, please contact us (see Section 8).
